TERMS & CONDITIONS
These Terms & Conditions govern all event planning, decoration, coordination, entertainment, catering, photography, and related services provided by Vani Celebration Event Management (“Company”, “We”, “Our”, “Us”) to the client (“Client”, “You”, “Your”). By confirming a booking, making payment, or signing a quotation, the client agrees to these terms.
SERVICES
The company provides services including wedding planning, social events, brand promotions, exhibitions, birthday celebrations, corporate events, stage decoration, photography, catering coordination, entertainment management, MICE, BTL activities, venue decoration, and complete event setup services. Services will be provided according to the approved quotation and agreed scope of work.
BOOKING & CONFIRMATION
Bookings are confirmed only after receipt of the agreed advance payment. Dates are reserved on a first-come, first-served basis. Verbal discussions or WhatsApp conversations alone will not be considered confirmation.
PAYMENT TERMS
A minimum 30%–50% advance payment is required at booking. Remaining payment must be completed before or on the event date as mentioned in the invoice. Additional services requested during the event will be charged separately. GST and applicable taxes will be charged extra unless specifically included in the quotation.
CANCELLATION & REFUND POLICY
Cancellation more than 15 days before the event may be eligible for a partial refund after deduction of booking and vendor charges. Cancellation within 7 days of the event will result in a non-refundable advance amount. Customized items, printed materials, flowers, artist bookings, and vendor advances are non-refundable. Refunds, if applicable, will be processed within 7–15 working days.
RESCHEDULING POLICY
Event date changes are subject to availability. Rescheduling requests must be made in writing. Additional charges may apply due to vendor availability or seasonal pricing changes.
CLIENT RESPONSIBILITIES
The client must provide accurate event details and guest count, obtain necessary venue permissions if required, ensure timely approvals for designs and schedules, and provide safe access to the venue for setup and dismantling.
VENDOR & THIRD-PARTY SERVICES
Certain services may be executed through third-party vendors. The company will coordinate vendors but shall not be liable for delays or failures caused by third-party service providers beyond reasonable control.
FORCE MAJEURE
The company shall not be held responsible for delays, cancellations, or failure to perform due to circumstances beyond control including natural disasters, government restrictions, pandemics, fire, floods, weather conditions, strikes, or transportation disruptions.
DAMAGE & LIABILITY
Any damage caused to decoration items, props, lighting equipment, furniture, or rented materials by the client or guests will be chargeable. The company shall not be responsible for loss of personal belongings, cash, jewelry, or valuables during the event.
PHOTOGRAPHY & MEDIA USAGE
The company may use event photographs and videos for promotional and social media purposes unless the client objects in writing before the event. Raw photos or videos will not be shared unless agreed separately.
TIMELINES & DELIVERABLES
Event setup and dismantling timelines depend on venue permissions and operational conditions. Photography and video delivery timelines will be communicated separately.
INTELLECTUAL PROPERTY
All event concepts, designs, themes, logos, creatives, and promotional materials prepared by the company remain the intellectual property of the company unless otherwise agreed.
GOVERNING LAW
These Terms & Conditions shall be governed under the laws of India, and any disputes shall be subject to the jurisdiction of the local courts.
ACCEPTANCE
By making payment or confirming the booking, the client acknowledges that they have read, understood, and agreed to these Terms & Conditions.
